Project Desk user guide
Everything you need to get going — from your first signup to installing the app on your phone.
1. Signing up & logging in
- Open the Project Desk website and tap “Start free”.
- Enter your name, a workspace name (e.g. your company), your email and a password of at least 8 characters. A phone number is optional.
- Tap “Create free workspace”. Check your email and tap the confirmation link.
- Sign in with your email and password. You land on your dashboard — your workspace is ready.
2. Your workspace
A workspace is your team's home — projects, tasks and members all live inside it. You are its owner. Owners and admins can rename the workspace from Settings; members cannot.
Everyone starts on the Free plan (3 projects, 5 members). Your plan is always shown at the top of the app.
3. Using the dashboard
The dashboard is the first screen after login. It shows your tasks due today, overdue tasks, what's due this week, and your recent activity, plus a “Getting started” checklist that walks you through setup.
On phones, use the bottom navigation bar to move between Dashboard, Projects, Time tracking, Billing and Settings. On desktop, the same items live in the left sidebar.
4. Projects & tasks
- Open Projects and tap “New project”. Give it a name and description. The Free plan allows 3 projects.
- Open a project and switch between Board, List and Calendar views (Calendar is on Pro and Max).
- On the Board, drag cards from To Do to In Progress to Done. On phones, use the card's menu to move it.
- Tap any task to open it: set priority, due date and estimate, assign teammates, add labels, break it into subtasks.
- Discuss in comments — type @Name to mention a teammate and they'll get a notification. Attach files straight to the task.
- Archive finished projects from the Projects page to keep things tidy.
5. Time tracking
Coming soon for Pro and Max workspaces.
Start a timer on any task or add hours manually, then see totals per task, project and team member — ready for client billing.
6. Plans & billing
- Open Billing and choose Pro (PKR 1,500/month) or Max (PKR 4,000/month).
- Transfer the amount to the bank account shown on screen.
- Upload a screenshot of your payment. Your request sits as “pending” — your plan does not change yet.
- We verify the payment (usually within a few hours) and activate your subscription. A numbered receipt is issued for every payment.
- If a payment is rejected, you'll see the reason and can try again.
7. Installing the app on your phone
Project Desk installs like a regular app — no app store needed:
- On Android (Chrome): open the site, tap the three-dot menu, then “Install app” or “Add to Home screen”.
- On iPhone (Safari): open the site, tap the Share button, then “Add to Home Screen”.
- The Project Desk icon appears on your home screen and opens full-screen, with key pages available offline.
8. Admin panel overview
The software owner gets a private /admin area: business stats (users, workspaces, revenue), the workspace list with plan changes and suspension, payment approvals with receipt issuing, the leads inbox from the website, bank-detail settings, the announcement banner, and a full audit log of every admin action.
9. FAQ
Is the Free plan really free?
Yes — 3 projects, 5 team members and 500 MB of storage, free forever. No credit card needed, ever.
How do I pay for Pro or Max?
Pick a plan on the billing page, transfer the amount to our bank account, and upload a screenshot of the payment. We verify it (usually within a few hours) and activate your subscription, then issue a receipt.
Can I use Project Desk on my phone?
Yes — the app is built phone-first. You can also install it to your home screen like a regular app; see the installation section above.
How do I invite my team?
Member invites are coming in the next update. For now, each person creates their own workspace.
Is my data private?
Yes. Every workspace is fully isolated — your projects and tasks are visible only to your workspace members.
What happens if my paid plan expires?
You get a 7-day grace period with full access. After that the workspace becomes read-only (you can still view and export everything) until you renew. Nothing is ever deleted.
